The HubSpot integration keeps your platform clients in sync with HubSpot contacts and companies so the same record is reachable from both your CRM and your delivery system. Pipeline updates in HubSpot can also drive workflow creation in the platform.

Connect

  1. Open Settings > Integrations.
  2. Find the HubSpot card and click Configure (or Connect).
  3. You are redirected to HubSpot's sign-in page.
  4. Sign in with the HubSpot account that has access to the portal you want to connect.
  5. Pick the portal if you manage more than one.
  6. Review and authorise the scopes HubSpot asks for — typically contacts, companies, deals, and notes.
  7. You are redirected back to the platform. The HubSpot card now shows Connected with the portal name.

Configure what syncs

Click Manage on the HubSpot card to set up:

  • Contact / Client mapping — match platform Clients (Individuals) to HubSpot Contacts and (Entities) to HubSpot Companies. New clients can be auto-created in HubSpot.
  • Field mapping — pair platform fields (including custom fields) with HubSpot properties so each system carries the same information.
  • Pipeline rules — optionally have a workflow auto-created in the platform when a HubSpot deal moves to a configured stage (e.g. "Closed Won").
  • Note / activity sync — pull HubSpot notes and emails into the client's Notes & Emails tab in the platform.
  • Direction — choose whether the sync is one-way (HubSpot → platform) or two-way. Two-way is the default and keeps both systems in lockstep.

Test the connection

Click Test Connection to verify credentials and scopes. The platform makes a read-only call to HubSpot and surfaces any issues — fix them before relying on the sync.

Disconnect

  1. Open Settings > Integrations.
  2. Click Manage on the HubSpot card.
  3. Click Disconnect at the bottom.
  4. Confirm.

Disconnecting stops new sync activity. Records already created on either side remain. Reconnect any time to resume.

Tip: Pipeline-driven workflow creation is a quick win for sales-led firms — when a deal closes in HubSpot, the right onboarding workflow appears in the platform automatically, already linked to the new client. Map the trigger stages once and the rest of the process happens without manual handoff.

Note: The HubSpot integration requires an active subscription plan that includes integrations. If the HubSpot card is missing from Settings > Integrations, see Settings > Billing to confirm your plan covers it.
