Invoices live as Draft until you approve them. Approval finalises the invoice number, makes it visible to clients, and enables the send / share / record-receipt actions.

  1. Open the draft invoice from the Invoices list.
  2. Review the line items, totals, dates, and notes one last time.
  3. Click Approve.
  4. Confirm the approval.

The invoice changes from Draft to Approved. Its status defaults to Unpaid and a reminder is scheduled based on the due date.

After approval you can:

  • Send to the client by email (the PDF is attached automatically).
  • Share with Client via a magic link to a hosted view.
  • Record Receipt when payment arrives.
  • Issue Credit Note if you need to credit part or all of the invoice.
  • Export to PDF for offline storage or printing.

Tip: While the invoice is still Draft you can edit anything. After approval, edits are restricted to protect the audit trail — to change an approved invoice, void it and create a new one, or issue a credit note for the difference.
