Estimates are formal quotes sent to a client before work starts. When the client accepts, you can convert the estimate to an invoice in one click without re-keying line items.

  1. Click Estimates in the sidebar (under Invoicing).
  2. Click Add Estimate.
  3. Pick the client.
  4. Set the date and due date (the date by which the estimate expires or needs to be accepted).
  5. Choose the currency (defaults to your organisation's reporting currency).
  6. Add line items:
  • Pick a service (or leave blank for ad-hoc lines).
  • Enter a description.
  • Enter quantity / hours and rate / unit price.
  • Pick a tax rate (from Settings > Sales Tax). The default tax rate is pre-selected if one is configured.
  1. Click Add Line for additional items.
  2. Review the auto-calculated subtotal, tax, and total at the bottom.
  3. Add notes (terms, validity period, bank details) — you can reuse saved note templates.
  4. Click Save.

The estimate is created with status Pending. From the detail page you can send it to the client, share a magic link, export to PDF, mark it Won (which lets you convert to an invoice), or mark it Declined.

Tip: Set up a default note template for estimates (Settings > Invoicing) with your standard terms — it gets pre-populated on every new estimate so you don't retype the same wording.
