Send an approved invoice straight to your client from the platform. The PDF is attached automatically, and the invoice is marked as Sent with a timestamp so you can see what went out and when.

  1. Open the Approved invoice.
  2. Click Send (or Resend if you've sent it before).
  3. The email composer opens with:
  • To — the client's primary email, pre-filled. You can add or change recipients.
  • From — your organisation's configured sending address.
  • Subject — pre-populated with the invoice number and your organisation name.
  • Message — a default body you can edit, or replace with a saved template.
  • Attachment — the invoice PDF is attached automatically.
  1. Edit the subject and body as needed.
  2. Click Send.

The email leaves through your organisation's sender. The invoice's activity log records the send time, recipient, and whether the email was delivered.

Tip: If the client says they didn't receive it, use Resend rather than creating a new send — it reuses the same email thread and keeps the activity history clean. You can also use Share with Client as an alternative: it sends a magic-link email so the client views the invoice in a hosted page (and downloads the PDF from there) without an attachment.

Note: The "From" address is your organisation's configured sender. If clients have trouble receiving messages, ask your administrator to verify the sender domain in Settings > Integrations.
