An allowance is the quota of leave each team member has for a given period — e.g. "25 days of Annual Leave per calendar year". Configure allowance types once, then assign them via leave types and member overrides.

Configure an allowance type

  1. Open Settings > Leave Types and Calendar.
  2. In the Allowances section, click Add Allowance.
  3. Configure:
  • Name — e.g. "Annual Leave Allowance", "Sick Leave Allowance".
  • Unlimited — toggle on for allowances with no cap (e.g. sick leave at some firms).
  • Maximum days (or hours, depending on your firm's setting) — the annual quota.
  • Carry-over — enable to let unused balance roll into the next calendar period. Set the maximum carry-over and (optionally) an expiry in months after which carried-over balance is forfeited.
  1. Click Save.

Link the allowance to one or more Leave Types (see "How to configure leave types") so requests of that type deduct from it.

Override allowances per team member

Useful for part-timers, mid-year joiners, or people with negotiated extra days.

  1. In the Allowances section, click Manage Member Allowances.
  2. Select the member and calendar period.
  3. Adjust:
  • Ratio — e.g. 0.5 for a 50% part-timer.
  • Custom maximum — explicit override for one period.
  1. Click Save.

The override applies only to the chosen period; future periods revert to the default unless you renew the override.

Tip: When you create a new leave calendar period (see "How to create a leave calendar period"), the platform auto-generates allowances for every active member based on these defaults plus any per-member overrides. You only need to revisit it for new joiners and changes.
