Every invoice, estimate, receipt, and credit note PDF uses one of three built-in designs that combine your firm's logo, brand colour, and details. Pick the design that fits your brand once, and every document you generate from then on uses it.
- Open Settings > Invoicing.
- Scroll to the Invoice Design section.
- You see three mini-preview cards. Each preview shows your real logo and brand colour so you can compare:
- Classic — full-width coloured header in your brand colour with the invoice title, number, and your logo in white. A formal, bold look used by most accounting firms.
- Modern — clean white header with a thin accent border in your brand colour, your logo on one side, and the invoice title and number on the other. Restrained and contemporary.
- Minimal — text-focused layout with no coloured header, just your logo and a small accent line. The lightest look — works well for firms that want the content to lead.
- Click the design you want. The selected card gets a coloured border and a checkmark badge.
- Your choice is saved automatically. There is no separate Save button on this section.
The next document you generate uses the new design. Documents already issued are unchanged — they keep the design they were created with.
Update the inputs that feed the design
The design picks up these from Settings > General:
- Logo — square or rectangular PNG with a transparent background works best across all three designs.
- Brand colour — the HEX colour applied to the header (Classic), the accent border (Modern), and the accent line (Minimal).
- Organisation name and registered address — printed on every document regardless of design.
- Tax number and VAT number — if set, appear below the address.
Change any of these and re-download an existing draft to preview how the new branding looks before sending.
Tip: Send yourself a test invoice after switching designs — open a draft, set the client to your own email, send, and check what the client sees. It's the fastest way to confirm the design works at real size and renders the same in your inbox as in the editor.
Note: The three built-in designs are the same for every firm — you cannot edit the templates directly. If your firm needs a bespoke layout (e.g. a specific regulatory disclosure, a custom footer, or a non-standard letterhead), contact support to discuss a tailored template.
