The Data Export page lets you download a complete copy of your organisation's data as CSV files — useful for offline reporting, migrations, regulatory archives, or just keeping a periodic backup outside the platform.

  1. Open Settings > Data Export.
  2. The page lists every dataset you can export, each as a card with an icon, name, and a short description. Common datasets include:
  • Clients — every client record with their core fields and custom fields.
  • Contacts — contacts and their relationships.
  • Workflows — every workflow with its items, status, dates, and owners.
  • Timesheet Entries — every time entry across all team members.
  • Invoices, Estimates, Receipts, Credit Notes — billing records with line items.
  • Leaves — every leave request and approval state.
  • KYC Assessments — completed and in-progress assessments (AML/KYC module).
  1. Click Download on the dataset you want.
  2. The export is queued — the page shows a banner "Your export is being prepared..." and you can leave the page or queue another dataset.
  3. When the export finishes, you receive an in-app notification and an email with a download link.
  4. Click the link in the notification (or in the email) to download the CSV file. The download link stays valid for a configurable period — default 7 days.

What's in the export

Each CSV file contains one row per record and one column per field. Fields include:

  • Every standard field for that record type.
  • Every custom field your firm has configured.
  • Linked IDs (e.g. client ID on a workflow) so you can join datasets in a spreadsheet or another system.
  • Timestamps in ISO 8601 format for unambiguous parsing.

Files are encoded as UTF-8 with a BOM so they open cleanly in Excel.

Export everything

To take a full snapshot, click Download on each dataset in turn. The platform processes them in the background — they don't have to finish before you queue the next one.

Privacy and permissions

Data Export is restricted to administrators by default. You see only datasets you have read access to. Sensitive fields (e.g. private custom fields, financial data) follow the same visibility rules as the in-app view — if you can't see a field on screen, it is omitted from the export.

Tip: Take a Data Export the day before any major change — switching plans, migrating between organisations, or running a destructive operation. The exports are your safety net and take only minutes to queue.

Note: Files uploaded into the platform (PDFs, receipts, ID documents) are not included in CSV exports — they are too large to bundle and would change the file format. To export uploaded files, use the file-tree download on each module or contact support for a bulk archive.
