When someone leaves your firm, deactivate them to revoke access while preserving everything they worked on.

  1. Open Settings > Users.
  2. Find the team member in the list.
  3. Click the action menu and choose Deactivate.
  4. Confirm the action.

The member is deactivated. They:

  • Can no longer log in or perform actions in your organisation.
  • No longer count against your subscription seat limit.
  • Still appear as the assignee on past workflows, time entries, comments, and notes — their history is preserved for reporting and audit.
  • Are hidden from member selectors when creating new workflows or assignments.

To reverse the action, click Reactivate on the same user. Any pending invitations for the same email are also cleared on deactivation.

Tip: If a teammate is only temporarily out of the office, consider revoking their workflow assignments instead of deactivating them, so they can resume work when they return.
