Templates capture the canonical structure of a recurring engagement — items, groups, field types, and assignees — so every new workflow of that kind starts the same way.
- Open the Templates page from the gear icon in the top navigation, or from the Workflows section.
- Click Add Template.
- Fill in:
- Name — e.g. "Annual Audit — Small Company"
- Category — optional, used to organise the templates list
- Description — explains what the template is for
- Default service — the service workflows from this template usually use
- Click Create.
- You land on the template editor in Edit Mode — the same workspace experience you get on a workflow, with two helper buttons:
- Add a group — a heading that groups related items.
- Add an item — a single field. Pick the type (text, dropdown, file, date, yes/no, etc.), name it, and (for dropdowns) set the options.
- Drag items by the handle to reorder them, and drop them inside groups.
- When you are happy with the structure, exit Edit Mode and click Publish so the template becomes available for use.
Published templates appear in the Clone From Template and Bulk Create flows.
Tip: Click Add items with AI in the template editor to describe the engagement in plain English ("Annual VAT return for UK small companies, including bank reconciliation, sales/purchase review, and HMRC submission") — the platform proposes a set of items you can refine.
Note: Updating a template does not modify existing workflows that were cloned from it. Cloned workflows are independent copies.
