The workflow workspace is built from items (fields) and groups. Each item captures a piece of information, a checklist step, or a file upload.

  1. Open the workflow.
  2. On the Workspace tab, click Edit Mode (top right of the workspace bar). This unlocks the workspace for editing.
  3. Click Add an item to add a single field, or Add a group to add a heading that groups related items.
  4. Choose the field type:
  • Single line text / Multi line text — short or long free-text answers.
  • Email / URL — validated address fields.
  • Number — plain, formatted with separators, or as a currency amount.
  • Yes/No — boolean toggle.
  • Dropdown / Dropdown (multiple) — choose one or several preset options.
  • File upload — attach a document.
  • Date / Date and time — date pickers.
  • Member — pick a team member (e.g. who reviewed this section).
  1. Enter the field name (label users see) and optional description.
  2. For dropdowns, add the options (or pick an existing dropdown field from Settings > Dropdown Fields to reuse it across workflows).
  3. Click Save.
  4. Drag fields by the handle to reorder them, or drop them inside groups.
  5. Exit Edit Mode to return to the working view.

Tip: Build re-usable dropdowns (e.g. risk ratings, document types) in Settings > Dropdown Fields. Picking them when adding a field keeps options consistent across all workflows and updates everywhere when you change them.

Note: If the workflow was cloned from a template, the workspace already reflects the template's structure. You can still add, edit, and reorder items for this specific engagement — your changes do not affect the template.
