When you have lots of workflows with unbilled time, expenses, or fixed fees, Bill Workflows turns them into invoices in one pass — grouped by client and currency, fully editable before you create the invoices.

Step 1 — open the billing screen

  1. Click Workflows in the sidebar.
  2. Click the three-dot menu in the top right and choose Bill Workflows (or open the Billing tab if your sidebar pins it).

Step 2 — pick which workflows to bill

  1. The list shows every workflow with at least one billable item not yet invoiced.
  2. Use the search box and filter chips to narrow by client, service, period, owner, or status.
  3. Tick the workflows you want to bill. Use Select all matching to grab everything across pages at once.
  4. Click Review Billing.

Step 3 — review and adjust

The review page groups the selected workflows into one draft invoice per client per currency.

For each client group:

  1. Set the invoice date and due date.
  2. Inspect every line — the source workflow, the description, quantity / hours, unit rate, tax rate, and total.
  3. Edit the description, quantity, rate, or tax rate inline if needed.
  4. Remove any line you don't want by clicking the trash icon. Removed lines remain unbilled and stay available for the next bulk run.
  5. The subtotal, tax, and total at the bottom of each group update live.

Step 4 — generate the invoices

  1. Confirm the invoice dates and any per-line edits.
  2. Click Generate Invoices.
  3. Confirm the action.

One draft invoice is created per client/currency group. The time entries and expenses on the bill are flagged as billed and disappear from the unbilled lists.

After generation you can:

  • Open each draft to approve and send it (see "How to approve a draft invoice").
  • Send all drafts in one go using Bulk Send Invoices (see "How to bulk send invoices").

Tip: Run Bill Workflows on a fixed cadence (e.g. the first business day of each month). The workflows that show up are exactly the ones with new billable activity since your last run — no scrolling, no risk of double-billing.

Note: If a workflow has no billing setup yet (no fee or hourly rate), it is excluded from the screen. Open the workflow's Time & Billing tab and configure the budget first (see "How to set a workflow budget").
