When you have billable time or expenses on a workflow, you can turn them into a draft invoice in a couple of clicks without re-entering line items.
- Open the workflow.
- Click the Time & Billing tab.
- In the Invoices section, click Add Invoice.
- The form opens pre-populated for this workflow's client and service. You see two helper sections:
- Unbilled time entries — every billable timesheet entry that has not yet been invoiced. Tick the ones to include.
- Unbilled expenses — billable expenses logged against the workflow. Tick the ones to include.
- The selected entries are added as line items, with descriptions, hours/quantities, and rates pre-filled.
- Add or adjust additional line items as needed.
- Click Save to create the invoice in Draft status.
The chosen time entries and expenses are flagged as billed and disappear from the unbilled lists. They appear under the workflow's invoice section so you can trace which entries went onto which invoice.
Tip: Need to bill several workflows in one go? Use Bill Workflows from the three-dot menu on the workflows list — it walks you through batching unbilled time across multiple workflows for the same client.
Note: Voiding the resulting invoice releases the time entries and expenses back to "unbilled" so you can re-bill them.
