For professional firms in regulated industries, Anti-Money Laundering (AML) and Know Your Customer (KYC) compliance is not optional — it is a legal requirement. ZenWorkflow's AML module provides a comprehensive, auditable framework that transforms compliance from a burden into a structured, manageable process.

Customisable Questionnaire Templates

At the heart of the AML module are questionnaire templates that define your due diligence process:

  • Build templates with logical sections and questions covering client risk factors
  • Choose from 14 question types: text fields, dropdowns, multi-selects, file uploads, date pickers, and more
  • Assign risk weights to each question, determining how much each answer contributes to the overall risk score
  • Configure dropdown options with individual risk ratings — for example, a "Country of Incorporation" dropdown where high-risk jurisdictions carry higher scores
  • Copy and modify existing templates to create variations for different client types or risk profiles

Automated Risk Assessment

ZenWorkflow calculates risk scores automatically based on questionnaire answers:

  • Weighted scoring: Each question's answer contributes to a total risk score based on its assigned weight and the selected option's risk rating
  • Risk thresholds: Configure thresholds that define Low, Medium, and High risk ratings. For example, scores below 30 might be Low risk, 30-70 Medium, and above 70 High risk.
  • Risk override: Compliance officers can override the calculated risk rating when professional judgement warrants a different assessment. All overrides are recorded in the audit trail.
  • Next assessment date: Automatically calculated based on the risk level and configurable revision ranges. High-risk clients might need annual reviews while low-risk clients are reviewed every three years.

The KYC Workflow

The KYC process follows a structured six-step workflow:

  1. Key Persons: Identify the key persons subject to verification — directors, shareholders, ultimate beneficial owners, and other relevant individuals
  2. Client Information: Review and snapshot the client's current data. This snapshot preserves the state of client information at the time of the assessment
  3. KYC Sections: Complete the AML questionnaire sections, answering questions about the client's business, structure, and risk factors
  4. Questionnaire: Answer the risk assessment questions that feed into the automated risk scoring
  5. Verifications: Upload and review proof of identity, proof of address, and AML search results from external screening providers
  6. Submit: Submit the completed assessment for multi-layer approval

Multi-Layer Approval

For added rigour, ZenWorkflow supports multi-layer approval workflows:

  • Configure multiple approval layers based on risk level — for example, Low risk might need one approver while High risk needs three
  • Assign different approvers to each layer
  • Each approver independently reviews and approves or rejects the assessment
  • Full audit trail of all approval decisions, including timestamps and comments
  • Approval routing automatically directs assessments to the right people based on the calculated risk level

Verification Records

The module maintains detailed verification records:

  • Identity documents: Store proof of identity with document type, number, issuing country, and expiry date. Track verification status and record who verified the document.
  • Address documents: Store proof of address with document type, verification method, and expiry tracking
  • AML searches: Record results from AML and PEP (Politically Exposed Persons) screening services. ZenWorkflow integrates with external providers for automated searches.
  • Adverse media: Track negative media mentions and articles about clients or their key persons
  • Ongoing monitoring: Record continuous monitoring results and flag items requiring review

Revision and Assessment Scheduling

Stay on top of review schedules:

  • Configure revision intervals by risk level (e.g., Low: 3 years, Medium: 2 years, High: 1 year)
  • Next assessment dates are calculated automatically from the last assessment date and the client's risk level
  • Dashboard views highlight upcoming and overdue assessments so nothing falls through the cracks

Why It Matters

Regulatory fines for AML non-compliance can be devastating, and manual compliance processes are error-prone. ZenWorkflow's structured approach ensures consistent, auditable compliance across your entire client base, reducing risk while saving time.
